In this tutorial you will handle a personal data request for a member of your Jetonomy community, the kind that privacy laws such as the GDPR give them a right to. You need the free Jetonomy plugin, and an administrator account. It takes about three minutes. There are five steps. Open Export Personal Data. Request the export. Erase a member's data. Know what is kept. Then add the policy text. Step one. Open Export Personal Data. Jetonomy has no privacy screen of its own. It plugs into the tools WordPress already has. In your WordPress admin, open Tools, then Export Personal Data. This is the same screen you use for every other plugin, so one request covers the whole site. Step two. Request the export. Type the member's username or email address, and click Send Request. The request appears in the list below at once, marked Pending. With the Confirmation email box ticked, WordPress emails the member to confirm it is really theirs. Once it is confirmed, its row has a link to download the file, or to email it to them. The file includes their Jetonomy profile, topics, replies, bookmarks, votes, subscriptions, notifications, activity log and blocked users. Step three. Erase a member's data. When a member asks to be forgotten, open Tools, then Erase Personal Data. It works the same way: type their username or email, and click Send Request. The request is listed below as Pending. Once it is confirmed, an erase action appears on its row. Erasing cannot be undone. Step four. Know what is kept. Erasing keeps the member's topics and replies in place, so other people's conversations are not left with holes. It removes the member's name from them. Everything else personal is deleted: their profile, notifications, follows, bookmarks, votes, space memberships, activity log entries, and the blocks and reports they made. A space they started is handed to another of its admins. If they were its only admin, it goes to a site administrator and is archived. Deleting the member's WordPress account does the same. Step five. Add the policy text. Open Settings, then Privacy, and click the Policy Guide tab. Each plugin lists what it stores. Click Jetonomy. Jetonomy sets no cookies on community pages. The suggested text explains how a topic view is counted, and what is stored with a member's account. Click Copy suggested policy text to clipboard, and paste it into your own privacy policy page. The guide is only shown to you, never to visitors. That is all five. Export Personal Data opened, an export requested, a member's data erased, what is kept understood, and the policy text added. You can now answer a data request with the tools you already have. Next in this series: Keep up with your notifications.
